HearAid can scan and store documents and links to documents. This function requires a scanner to be directly connected to the computer entering the data and that appropriate scanning software is installed if you wish to use it to store images. Alternatively, you can store the path to a document and use the View Document button to open the linked document outside of HearAid.
The Toolbar:

•Scan Document connects to the computer's scanning software, which is then used to scan the image
•Use Scanner UI will force using the scanner/printer's scanning utility when scanning; when un-ticked HearAid will communicate directly with the scanner and the scanner utility software will not be displayed. This selection can be changed in the Document Scanning Options
•Convert PDF to JPG Files will convert the selected PDF document to a series of JPG files, with each page of the PDF document becoming a separate JPG file
•View Document will use Windows to open the linked document; use this option if you cannot see an image in the Preview pane. This feature allows you to store links to all sorts of documents, including zip files. Storing other file types is very useful when preparing a relocation file
The Work Area:

The Added: row in the Document Name list can be hidden by right-clicking the list and ticking the Hide "Added" row in Document List option on the pop-up menu


The Document List can be sorted either alphabetically by Document Name, or in reverse order of the date the Document was added; clicking the column header will switch between sort orders

1.Place the document in the scanner
2.Click the Scan Document button to begin capturing the document, or right-click on the Thumbnail area and choose Load from the pop-up menu to import an image from an external JPEG file
3.Select scanning options:
oDirect Scan or Use Scanner UI HearAid can either communicate directly with the scanner, or open up the scanner's interface utility. Colour Options are not available if the Use Scanner UI option is selected, as those settings can be made in the UI

oOutput Format dictates whether the document is to be scanned into an external JPG ile or PDF file
oColour Options allows you to determine whether the scanned image will be in colour, black and white, or greyscale
oWhether or not to use the Document Feeder on the scanner, if available. This option does not necessarily work for all scanners
4.Enter a name for the Document; HearAid will automatically allocate an unique file name
5.Press Ctrl+S on the keyboard, or click Save Changes on the work area toolbar
To Add a link to a document on your computer or network
1.Click the Link To Docment button on the toolbar, or add a new document record then click the Find Document button to link to a document on your computer or network

2.Click the double up-arrow button to store a copy of an external document into the database
Click the drop-down arrow and use the File and Folder list to navigate to and select the file/item you want to link
•Press Enter to set the path. HearAid will copy the document into the Documents folder
This is an extremely powerful feature! Not only can you can link to a document or picture file, you can also store Windows shortcuts or executable program files and clicking the View Document button will open the file, shortcut or program in a separate Windows process outside HearAid.
Images are no longer stored in the database: Linking to a file rather than scanning it into the database reduces the storage overhead in the HearAid database.
To Edit an existing record:
1.Click on the Form
2.Press Ctrl+Insert on the keyboard, or click Edit on the work area toolbar
3.Modify the details and press Ctrl+S on the keyboard, or click Save Changes on the work area toolbar

Documents can be Imported in two ways: 1.Insert a new record 2.Load a JPEG file: right-click the preview panel, select Load from the pop-up menu and navigate to the JPEG file you want to import, or 3.If you are saving the image into the database, Copy an image to the Windows clipboard: right-click on the preview panel and select Paste from the pop-up menu Documents can be exported or printed by right-clicking the thumbnail and either •Copying the image to the Windows clipboard and pasting it into a document • Choosing Save As... to export the image to a JPEG file |
