The Device Quotes window is used to record order Device Quote data for both Hearing Services Program and Private clients. HSP requires that all clients receive a written quote prior to proceeding with fitting, even if they are being fitted with fully-subsidised devices
The Toolbar:
•Print Quote will print the quote form
•Users can customise the content of the second page of the quote form by editing ..\HearSoft\HearAid\Reports\Forms\HSP Device Quote Form.rtf in Tools|Editor
•Save To Documents will print an image of the quote form to a PDF document and link it to the client's Documents records
The Work Area:
•The Accessory look-up lists are populated with devices which have ACCESSORY allocated to Style in Lists|Devices
1.Click on the Quote form
2.Press the Insert key on the keyboard, or click Insert New Record on the work area toolbar
3.Enter the Quote Date. By default, HearAid will enter the current date
4.Select a Quote Type; by selecting a Quote Type HearAid can apply display, print and data-checking rules
5.For Hearing Services Program quotes, select whether or not to include a Maintenance Fee and/or a Replacement fee
6.When selecting a Quote Structure of Binaural ± Accessories or Monaural ± Accessories select Devices for the Left and/or Right; HearAid will retrieve linked amounts for the HSP Subsidy values where necessary and, if you have entered Top-Up amounts in the Devices record, will also retrieve the Client To Pay values. If you have selected a binaural fitting item number then the device for the right ear will be copied automatically from the device entered for the left ear. The maintenance fee will also be retrieved automatically. For Private quotes the Client to Pay amounts are retrieved from the Monaural and Binaural prices set for the device/s. Optionally, select up to three accessories.
7.When the Quote Structure is for Accessories you do not need to enter Left or Right devices and only accessories will be visible
8.Different types of Device Quotes can be allocated different Terms & Conditions by selecting a Terms & Conditions Template.
Selecting a template will load the template into the Terms & Conditions editor, where it can be further customised for the individual client, if required
9.When providing quotes for Hearing Services Program clients where the quote is prepared for a fitting to be carried out in the new financial year, entering a Planned Fitting Date will ensure the correct HSP Maintenance Subsidy will be retrieved, provided the new Schedule of HSP Fees has been entered for the new financial year
10.Optionally, enter a Discount
11.HearAid will automatically calculate total amounts
12.Print the quote form and have the client sign it
An unlimited number of Terms & Conditions Templates can be created. There are only two conditions:
a.The template must be an RTF file stored in the \HearSoft\HearAid\Reports\Forms folder on the server computer
b.The template name must begin with Device Quote Form:
c.Templates can be created and edited in Tools|Editor
